Privacy notice

How we handle your details.

This notice covers autogeny.ai and its “Book a scoping call” form: what we collect, why, where we keep it, who else sees it, how long we keep it, and how to have it corrected or deleted.

Who we are

Autogeny LLC runs this website. Our postal address is 38 Chiswick Street, Longmeadow, MA 01106, USA. For anything about your details, email ops@autogeny.ai.

What we collect

When you send the booking form, we receive:

  • your name and work email;
  • your organization’s name and website;
  • what your AI decides or does, where it is today, and any failures you tick as a worry;
  • if you give them: your phone number, your role, your company size and a link to your AI platform or product;
  • that you agreed to be contacted, and when.

The form also sends a one-time token from the spam check (below). We use it to confirm the check once and do not keep it. Our server also sees your IP address. It passes it to the spam check and uses it, in memory only, to limit repeated sends. It does not store it with your request.

If you email us instead, we receive what you put in the email.

Why we use it

To reply to your request, set up and prepare for the call, and follow up on it. We do not add you to a mailing list, and we do not use your details for advertising.

Where we keep it

Your request goes straight into our own customer records system (a CRM), on a server we rent from Hetzner in Ashburn, Virginia, USA. It is stored as a contact (a lead), a company record (your organization’s name, website and size, unless we already have one), a note holding your answers, a task to reply to you and a deal in our sales pipeline.

If we already have a contact with your email address, the request is added to that record and nothing already on it is changed. That record may hold details we got elsewhere, for example from earlier emails with you. We do not check that an email address belongs to the person who typed it. If someone sent the form with your address, tell us and we will delete the request.

If you send the form again, your earlier details stay as they are and the new answers are added as a new note.

Who else sees it

Services that also see your details

CloudflareCloudflare runs the spam check on the booking page (Cloudflare Turnstile).It loads when you open the booking page, sees your IP address and signals from your browser and device, and stores a small identifier in your browser’s local storage for its own use. It sets no cookies on our site. When you send the form, our server sends Cloudflare the check’s token and your IP address to confirm the result. Cloudflare handles this under its own privacy policy.
HetznerHetzner hosts the servers that run this website and our CRM.
MicrosoftMicrosoft hosts our email (Microsoft 365), so it carries and stores the emails between you and ops@autogeny.ai.
GoogleGoogle carries and stores any emails we exchange with you through Gmail.Our CRM then copies each message’s details (sender, recipients, subject, date and a short preview) into your record.
AnthropicAnthropic makes Claude, the AI assistant we use to help us read and summarize our records.When we ask it about our CRM, the records it reads, which may include your request, are sent to Anthropic.

We do not sell your details, and we do not pass them to data brokers.

Cookies and outside services

Our pages set no cookies, and use no analytics or advertising trackers. Our fonts come from our own server, not from a font service. The booking page loads Cloudflare’s spam check, which keeps the small identifier described above in your browser. No page loads any other outside service.

Server logs

Like most websites, our web server writes a line to a log for every request: the time, your IP address, the address of the page or file asked for, and the details your browser sends with it, such as its name and version and the page you came from. The booking form’s request to our CRM server is logged the same way; its contents are not. We use these logs only to keep the site working and secure, and we keep them for up to 30 days.

How long we keep it

Every three months we delete, in the way described below, each request with no contact between us in the last 24 months. So a request is kept for 24 to 27 months after our last contact with you. We keep requests this long because agreeing a business engagement can take up to 18 months. If we start working together, your details become part of our client records and we keep them for as long as the work and our legal and accounting duties require. Backup copies of the CRM are kept on the same server and, encrypted, in our private cloud storage, and are deleted about eight weeks after they are made. Our hosting provider, Hetzner, also keeps daily backup copies of the whole server for up to 7 days.

Our earlier waitlist

The waitlist we used to run at autogeny.ai/waitlist is closed, and that address now leads to the booking form. We switched the waitlist off and deleted its records, including the IP address and browser details sent with each signup.

Seeing, correcting or deleting your details

Email ops@autogeny.ai to ask what we hold about you, to have it corrected, or to have it deleted. We will reply within 30 days.

When we delete your request, we delete the notes holding your answers, the tasks and any email details copied into your record, clear your details from your contact entry, and archive that entry and any deal. A minimal archived entry may remain, and so may our record of your organization (its name, website and size). Backup copies that still hold your details are deleted within about eight weeks of the deletion.
